Best Complaint Management Software for Quality Teams

Best complaint management software for quality teams, comparing ComplianceQuest, MasterControl, QT9, TrackWise, Veeva and SafetyChain.

Complaints are a quality signal, not an inbox

A complaint is often the first evidence that a process has escaped into the market. ISO 10002 gives guidance on complaints handling as a planned process: visibility, accessibility, responsiveness, objectivity, review and improvement. Our explainer on ISO 10002 complaint management sets out that guidance in plain terms. For medical device firms the obligation is harder still, because complaint files form part of regulatory record keeping, feeding evaluation of reportability, investigation and any resulting CAPA or field action.

Software for this work must log consistently, triage by risk, assign investigation, preserve the link to product and batch or device records, escalate on time limits, and trend by cause so repeat complaints become visible before they become incidents. Integration matters because complaints arrive through sales, service and support channels that rarely live inside the QMS.

Scores here are desk research totals from published evidence only, never hands on testing, following how we evaluate QMS software. The wider platform context is in the best QMS software comparison.

A complaint that reveals a product failure should flow into nonconformance management software without retyping, so test that handover in every demonstration.

ComplianceQuest: complaints where the customer record lives

Because ComplianceQuest runs natively on Salesforce, complaint intake can begin where the customer relationship already sits, in cases, accounts and service history, then move into quality investigation without a fragile interface. The sheet evidences complaints in the Capterra FAQ list and integrations with CRM, ERP, MES, PLM and LIMS. For organisations handling complaints across regions, that shared customer view helps consistency of acknowledgement and trending.

Our ComplianceQuest review covers pricing: quote based per user and per module, vendor pricing not published, Salesforce licence costs additional. The third party estimate on Capterra of 30 dollars per user per month is labelled here as an estimate only. The risk is platform scope creep, where a complaint project becomes a Salesforce programme, so bound the implementation tightly.

MasterControl: complaint files for life science scrutiny

MasterControl evidences complaint handling for Quality Excellence, with product complaint forms described within Advanced Quality Event Management, and the vendor also sells a dedicated Postmarket Excellence product. For device and pharmaceutical firms maintaining complaint files that may be inspected, that event structure, linking complaint to investigation, CAPA and supplier records, is the central strength.

See our MasterControl review for standards and validation detail. Pricing is not published and no free trial was evidenced. Review volume is the largest here, which gives its 4.3 G2 and 4.5 Capterra ratings more statistical weight than thinner listings. Smaller firms should still check whether a dedicated postmarket product is required for their full workflow, since package boundaries affect cost.

QT9 QMS: complaint and recall handling in one package

QT9 names the module Complaint and Recall Management, a pairing that matters when investigation concludes that product in the field must be acted on. Complaint handling, CAPA, nonconformance and supplier quality are all evidenced, all modules are included at one price per the pricing model in the sheet, and a free trial is available. That makes QT9 the most testable option on this page for small and mid sized manufacturers.

Our QT9 QMS review records licensing per concurrent user per year and notes that the vendor does not publish pricing, with ITQlick estimates labelled as estimates at 1,700 to 2,200 dollars per user per year. In the trial, load complaints in bulk from your current log and check trending by product and cause code, because migration and reporting decide long term value more than the intake screen.

TrackWise Digital and Veeva: enterprise life science options

TrackWise Digital evidences complaint management in its vendor brochure and Capterra feature list, handling quality events, CAPA, documents, training and supplier quality for life sciences. Our TrackWise Digital review notes a base validation package included in the subscription per vendor material. Its weakness is evidence depth: only 7 G2 reviews at 3.8 out of 5, the lowest rating here, and ease scored 6.6 out of 10. Enterprises with TrackWise heritage may accept that trade, new buyers should demand references.

Veeva lists complaints on its medtech page among nonconformances, CAPAs, audits, supplier management, field actions and change control, a combination that suits device firms where a complaint may end in a field action. Its strength is the surrounding Vault suite, including safety and regulatory applications evidenced as integrations. Pricing is not published, fit is enterprise, and review counts are small, so judge it on scripted scenarios involving reportability decisions and complaint file completeness.

SafetyChain: complaints in food and beverage operations

SafetyChain has no profile page on this site, so this section stands alone. It is a food and beverage specialist: the sheet evidences complaints alongside CAPA, audits, supplier compliance, document control and nonconformance, with standards centred on GFSI schemes, SQF, BRCGS, FSSC 22000, FDA FSMA, HACCP and USDA rather than ISO management standards. No ISO 9001 support was clearly evidenced for SafetyChain in this check, and this article does not claim it.

Pricing is quote based per facility as an annual subscription, with the vendor stating no per user pricing and no extra charge for support, data storage or number of devices. For multi facility food manufacturers running GFSI programmes, complaint trending tied to production and supplier records is operationally valuable. Outside food and process manufacturing, its specialism becomes a limitation, and general quality teams should choose from the platforms above.

Evidence note and practical question

Evidence note: ratings, counts, module flags, standards and desk research totals are taken from the product data sheet checked on 21 October 2026. Frontmatter sources are the G2 page for ComplianceQuest and the Capterra page for SafetyChain named there. Vendor standards are reported as vendor claims, not certification by this site. Unpublished pricing is described as unpublished, and third party figures are labelled as estimates.

Practical question: how many complaints in the last twelve months repeated a cause you thought was closed? Ask each finalist to show, live, how that repeat would surface as a trend, an escalation and a CAPA link. A system that only stores complaints neatly will not reduce them.
