Qualio Review: Modules, Pricing Evidence and Fit

Qualio review for life science teams covering modules, standards, tiered quote pricing, G2 and Capterra ratings and honest fit limits.

Verdict: an approachable life science system with clear boundaries

Qualio targets life science organisations that want a modern, cloud only quality system without the weight of an enterprise suite. The vendor aims at medical device manufacturers, pharmaceutical companies, biotechnology firms, diagnostics producers and healthcare technology businesses, with small and mid market teams as the core audience and an upper tier for larger operations. Ease of use is the recurring theme in its positioning, and the review evidence in this batch supports that emphasis.

Skip Qualio if you need calibration management inside the same system, because no evidence for that module was found in the material checked. Skip it too if you want to test the product alone before speaking to sales, since no free plan or free trial is offered. General manufacturers outside life sciences will find the framework language and templates oriented towards regulated product development rather than factory quality, so they should look elsewhere first. The wider best QMS software comparison helps place that specialism in context.

The desk research total for Qualio is 7.9 out of 10, the lowest in this batch by a narrow margin, calculated from published evidence only and not from hands on testing. The method behind the figure is explained on how we evaluate QMS software.

What Qualio is and how it is packaged

Qualio is sold in three tiers called Foundation, Growth and Scale. According to the vendor pricing page, Foundation includes 5 edit users and Growth includes 10 edit users, while Scale carries custom pricing for mature, enterprise grade operations. The vendor describes Foundation for first time teams and Growth for scaling organisations, which gives buyers a rough map from headcount and maturity to tier, even without numbers attached.

The product is cloud only, with no on premise option evidenced. Its integration list is unusually developer and product centred for a quality system, including Jira, GitHub, GitLab, Azure DevOps, TestRail, Xray, Zephyr Scale, Linear and Asana, alongside Salesforce, HubSpot, Zendesk, Microsoft Dynamics, OneDrive and SharePoint, Intercom and Okta for single sign on. For software driven device and diagnostics firms, that mix can connect quality records to the tools where design and support work already happens. That positioning explains its presence on the best QMS software for pharmaceutical companies and best QMS software for medical device companies shortlists.

Module capability table

Nine modules in our checklist are evidenced as included. Calibration is shown as not evidenced, reflecting an absence in vendor and review material rather than a confirmed product decision to exclude it permanently.

CalibrationNot evidenced

Complaint handling and nonconformance run through a Quality Events model, where events, CAPAs and related records share one workflow. The vendor describes full event management as standard, and its Salesforce material describes pulling support cases into Qualio events so complaints can be investigated where the quality record lives. Buyers with high complaint volumes should test that event model against their triage process, because a unified event queue suits some teams and frustrates others that prefer separate registers.

Standards coverage

The vendor states support for ISO 9001 and ISO 13485, with FDA 21 CFR 820, FDA 21 CFR Part 11 and EU MDR also evidenced in the sources checked. Treat those statements as vendor claims to confirm against your notified body or regulatory adviser, not as certification by this site. The vendor pricing page refers more broadly to FDA, MDR, ISO and GxP frameworks, while specific standards were evidenced through marketplace and profile listings.

Just as important is what was not evidenced. ISO 14001, ISO 45001, AS9100, IATF 16949, ISO 17025 and EU GMP were not specifically evidenced for Qualio, so environmental, automotive, aerospace and laboratory buyers should not assume coverage. On validation, Qualio provides validation resources and feature validation packs through its documentation, and a vendor comparison page says a validation package is ready for auditors from day one. Ask to see a sample pack during evaluation and check whether it covers the features in your chosen tier.

Pricing evidence

Qualio does not publish numeric pricing. Its pricing page lists the three tiers and invites buyers to request a quotation, and it states that an implementation fee applies to all plans. Licensing is per edit user on an annual subscription, so the distinction between edit users and read only participants will drive the final bill and deserves attention in any proposal.

Third party estimates conflict and must be read as estimates only. ITQlick estimates a starting point of 200 dollars per user per month, while ITQlick comparison tables elsewhere estimate 90 to 120 dollars per month per user. That spread is too wide for budgeting, which is why our QMS software pricing guide treats Qualio as a request a quote vendor. In desk research scoring, pricing transparency and value reached 5.2 out of 10, better than the heaviest enterprise rivals here but still held back by the missing numbers and the universal implementation fee.

Because there is no self service trial, the demonstration and the reference calls carry the full burden of proof. Prepare a scripted scenario using your own document approval chain and a sample complaint before the first call.

Ratings and editorial scores

Qualio holds the largest G2 review base in this set. Checked on 21 October 2026, G2 showed 4.4 out of 5 from 781 reviews, and Capterra showed 4.6 out of 5 from 138 reviews. The G2 largest reviewer segment is mid market, which matches the vendor tier story.

PlatformRatingReviewsChecked
G24.4 out of 578121 October 2026
Capterra4.6 out of 513821 October 2026

Our editorial scores from desk research were standards and compliance fit 8.2, module depth 8.8, ease of use and implementation 8.6, pricing transparency and value 5.2, and support and vendor stability 7.8, for a total of 7.9. Ease is the standout criterion, while module depth trails rivals that include calibration or broader factory tooling. A large review base at a respectable rating suggests consistent delivery for its chosen audience rather than a niche product with a handful of enthusiastic users.

Implementation notes and alternatives

Start by deciding who genuinely needs edit rights, because tier economics depend on that count. Then load your document templates, set approval roles and test the events workflow with a closed historical CAPA before migrating live records. The integration list rewards teams that connect development and support tools early, so involve the software team in configuration rather than treating the rollout as a quality department project alone.

If the calibration gap, the implementation fee or the life science focus rules Qualio out, the Qualio alternatives page works through credible substitutes by use case. Buyers torn between factory breadth and life science simplicity should read QT9 vs Qualio for a direct comparison. Vendor tier details are published by Qualio.

Practical question

Count your edit users honestly, including the engineers and support staff who will raise and close events, then ask for a quotation on that full number with the implementation fee itemised. If the total still looks proportionate for a first regulated quality system, Qualio is a sensible starting point. If the edit user count keeps climbing during the trial of your processes, revisit the tier assumptions before signing.
