Ask sixteen QMS vendors what their software costs and thirteen will answer with a meeting invitation. This page gathers what can actually be evidenced in October 2026: the three products with public price figures, the pricing model behind every platform in our best QMS software comparison, and the third party estimates that circulate for the rest, each labelled as an estimate with its source. Figures were checked on 21 October 2026 against the vendor pages and listings named below.
All 16 platforms: model, published price and estimates
Published price means the vendor, or a listing carrying vendor supplied pricing, states a figure anyone can read. Estimate means a third party has published a number the vendor has not confirmed. The two are never interchangeable, and treating an estimate as a quotation is the fastest route to a budget surprise.

The three products with public price evidence
isoTracker is the most transparent product in this set for a small buyer. Its Capterra listing gives a starting price of $460.30 per user per year for the Basic tier, and vendor supplied pricing on G2 adds three reference points: a single module at $1,328.74 for 5 users per year, the Basic QMS at $4,816.14 for 5 users per year, and the Pro QMS at $11,036.84 for 10 users per year. The modular structure means a small organisation can price only the modules it needs, and the vendor offers a 60 day free trial of the full version. The isoTracker review sets out which modules were and were not evidenced behind these tiers.
SimplerQMS takes the opposite approach: one published minimum with a great deal bundled inside it. The vendor pricing page states a minimum subscription of USD 17,500 per year covering up to 15 users, across Full, Standard, Light and Viewer licence types, with Viewer access free for invited auditors and collaborators. The vendor states that implementation, validation, data migration, unlimited training, hosting, templates and support are included with no hidden fees, which makes the headline figure more comparable with a rival’s total cost than with a rival’s licence line alone. Older third party listings showing a lower yearly figure appear outdated against the vendor page, so we use the vendor figure. Details sit in the SimplerQMS review.
Greenlight Guru publishes starting points rather than full tariffs. Its pricing page states that quality management and product development subscriptions start at $12,000 per year, EDC subscriptions start at $9,000 per year, implementation is priced separately, and validation documentation is included with the subscription. Because the final price depends on the products and capabilities selected, a medical device team can budget from the starting figure but cannot finish the calculation without a quotation. The Greenlight Guru review explains how the package structure affects growing device companies.
Why most vendors hide their pricing
Quote only pricing persists partly because enterprise QMS deals genuinely vary: user counts, module bundles, sites, validation scope and migration work differ between buyers. It also persists because opacity helps sales teams. A vendor that publishes nothing cannot lose a comparison spreadsheet on price, can anchor the first number in conversation, and can discount selectively. Per user platform models add another layer, since the licence a buyer needs may be for named users, concurrent users, edit users or facilities, and no two vendors define a user the same way. Buyers counter this by demanding itemised written quotations against a fixed user count and module list, and by asking what the renewal price mechanism is before signing rather than after.
Total cost: the lines that sit outside the licence
The subscription is the beginning, not the bill. User growth is the quietest multiplier: a per user model that looks modest at 15 users behaves differently at 150, while per facility pricing such as SafetyChain’s shifts the calculation towards site count instead. Modules bought later rarely arrive at the discount negotiated in the first contract. ComplianceQuest buyers must also hold Salesforce licences for their users, because the product runs on that platform, so the platform cost sits underneath the QMS cost. In regulated sectors, validation work can rival the first year licence fee where it is billed separately, while SimplerQMS, Greenlight Guru and QT9 QMS each bundle validation support or documentation in different ways that change the comparison. Implementation, configuration, migration and training charges vary just as widely. Our QMS software implementation cost guide breaks those elements down, and the method behind every figure on this page, including how estimates are labelled and conflicts handled, is published in how we evaluate QMS software.
Renewal terms deserve the same scrutiny as the first year price. Some contracts fix the rate for a multi year term, others allow annual increases linked to an index or simply to the vendor’s list price at renewal, and a per user agreement signed for a pilot group can reset at a higher band once the full workforce is added. Ask for the renewal mechanism, any cap on increases, and the price of adding users mid term in writing, because those three answers often separate two quotations that look identical in year one.
For a team still deciding whether software beats its current spreadsheets at all, the spreadsheet versus QMS software cost comparison counts the staff time, audit preparation and error correction that spreadsheets hide, using the same checked figures.
Practical question
Take the platform your organisation is most likely to buy: can you write down its first year total, licence, implementation, validation and platform costs included, using only published evidence, and if not, which missing figure will you insist on having in writing first?
