Fit and skip verdict
SimplerQMS suits small and medium sized life science organisations that want a broad, validated system without assembling separate tools for documents, training and quality events. Its strongest appeal is the combination of complete module coverage and an all inclusive subscription where the vendor states implementation, validation, data migration, hosting, templates, unlimited training and support are included. That positioning matters most for medical device, pharmaceutical, biotechnology and laboratory teams operating with limited internal validation resource.
Skip it if your organisation sits outside life sciences and needs a general manufacturing system shaped around production processes rather than regulated quality records. Skip it also if you need on premise deployment, since the evidence describes a cloud based software as a service product only. For a wider comparison before committing, see our guide to the best QMS software and then return here for the product specific detail.
Our desk research score for SimplerQMS is 8.9 out of 10 overall, based on published evidence rather than hands on testing. The breakdown is standards and compliance fit 9.6, module depth 9.6, ease of use and implementation 8.6, pricing transparency and value 8.8, and support and vendor stability 7.2. The support score is the lowest element, reflecting a smaller vendor and a modest review base rather than negative evidence.
What SimplerQMS is and who sells it
SimplerQMS is sold by the vendor of the same name and is built specifically for life sciences. The vendor describes its audience as medical device and MedTech firms, pharmaceutical and biotechnology companies, in vitro diagnostic makers, clinical and medical laboratories, and contract research and manufacturing organisations. Reviewer evidence aligns with that focus: G2 reviewers opened during this check were mostly from small businesses of 50 or fewer employees, with some mid market reviewers, and a listing summary puts typical customers between 2 and 1,000 employees.
The system is cloud hosted, with hosting included in the subscription. Material checked for this review described the hosting provider inconsistently, so this profile records only the cloud deployment model and does not name a hosting provider as fact. Integrations evidenced include Microsoft 365, Word, Excel, PowerPoint and Microsoft Entra ID, plus Microsoft Copilot, and connections to ERP, CRM, PLM and LIMS systems via API or plugins as described in vendor material.
Licensing uses four types: Full, Standard, Light and Viewer. The vendor states Viewer licences are free for invited auditors and collaborators, which can reduce cost where many people need read only access during audits or reviews.
Module capability table
All ten core modules in our standard comparison set are evidenced for SimplerQMS, which is unusually complete for a product aimed at smaller organisations. The table below records only what vendor and review listing evidence supports.
| Module | Status |
|---|---|
| Document control | Included |
| Training management | Included |
| CAPA management | Included |
| Audit management | Included |
| Nonconformance and deviation management | Included |
| Complaints management | Included |
| Change control | Included |
| Risk management | Included |
| Supplier management | Included |
| Equipment management and calibration | Included |
Document control, change management, training, supplier management, complaints, nonconformance and deviation, CAPA, audit and risk capabilities are listed in the vendor supplied product description, and the vendor pricing page Full licence also lists training, audit, supplier, quality events, CAPA and risk. A separate vendor equipment page confirms the equipment management and calibration capability, so calibration is recorded as included rather than assumed from the broader list.
Standards coverage
The vendor states the product supports a wide life science standards set. On its pharmaceutical page the vendor states the system is fully validated to ISPE GAMP 5 and complies with FDA 21 CFR Part 11, Part 211 and related drug rules, EU GMP Annex 11 and Eudralex Volume 4 GMP, alongside quality system requirements including ICH Q10, GxP, ISO 9001:2015 and ISO 13485:2016. The product description also lists 21 CFR Part 820, EU MDR and EU IVDR.
For clarity, the full standards list recorded in our data is ISO 13485, ISO 9001, FDA 21 CFR Part 11, FDA 21 CFR Part 820, FDA 21 CFR Part 210, FDA 21 CFR Part 211, EU GMP, EU Annex 11, EU MDR, EU IVDR, GAMP 5, GxP, cGMP and ICH Q10. Treat these as vendor claims about supported requirements, not as certification of your organisation by this site. Your own gap analysis against each clause and regulation still decides whether the configuration you buy meets your notified body, customer or regulator expectations. Teams comparing regulated segments may also find our pages on QMS software for medical device companies and QMS software for pharmaceutical companies useful alongside this profile.
Pricing evidence
SimplerQMS is one of the few products in this set with a published minimum subscription price. The vendor pricing page states: “USD 17,500 annually minimum, covering up to 15 users (vendor pricing page, stated as the minimum subscription price)”. We quote that figure exactly as published and checked on 21 October 2026. Source: SimplerQMS pricing page.
The model is a per user yearly subscription using the Full, Standard, Light and Viewer licence types described above. The vendor says the price is all inclusive, covering implementation, validation, data migration, unlimited training, hosting, templates and support with no hidden fees. That claim, if it holds in your quotation, changes the total cost comparison considerably, because validation and implementation are separate charges for several competitors. Our QMS software pricing guide explains how to compare headline subscriptions against those additional costs.
Two evidence cautions apply. First, an older third party listing showed USD 13,750 per year, which appears outdated compared with the vendor page and current listings at USD 17,500, so we do not use the older figure. Second, the vendor pricing frequently asked questions section says free, guided, hands on trials are offered, while one listing summary said no free trial was available. We record the vendor statement and note the conflict rather than presenting either as settled beyond doubt. Confirm both the licence mix and trial terms in writing before budgeting.
Review platform ratings
Ratings below come from the product listings checked on 21 October 2026. They are a snapshot, not a guarantee of future scores, and the review counts are small enough that a handful of new reviews could move the averages.
| Platform | Rating | Reviews | Checked |
|---|---|---|---|
| G2 | 4.5 out of 5 | 14 reviews | 21 October 2026 |
| Capterra | 4.5 out of 5 | 37 reviews | 21 October 2026 |
Both platforms agree at 4.5, which is reassuring, but the combined base of 51 reviews is modest. Read the individual reviews for comments about the processes you will use daily, especially document approval, training records and audit preparation, rather than relying on the headline average alone.
Implementation and validation notes
Validation is a central part of the offer. The vendor includes IQ, OQ and PQ validation services in every plan and states the system is fully validated to GAMP 5, with continuously updated validation evidence. For a small life science firm, that can remove a workstream that otherwise needs consultants or internal specialists. Ask what evidence is regenerated at each release, who signs it, and how your own user acceptance testing fits around the supplied package.
Our scoring method and weighting are explained on how we evaluate QMS software, including why validation support affects the standards score but never replaces your own validation responsibilities.
Practical question
If you shortlist SimplerQMS, ask this before signing: for our exact licence mix above 15 users, what is the total first year and renewal cost in writing, with validation, migration and training confirmed as included? A clear answer lets you compare that total fairly against quote only rivals, and a vague answer tells you the published transparency stops at the minimum price.
