Medical device buyers cannot judge a quality system by module count alone. A platform has to hold design history evidence, link risk thinking to product changes, and keep post market signals moving into corrective action without losing traceability. On that test, Greenlight Guru is the most purpose built starting point here, SimplerQMS is the clearest option when validation cost must be predictable, and QT9 QMS suits device firms that also want broad manufacturing coverage. MasterControl fits larger regulated organisations, while Qualio appeals where adoption matters most. Our wider best QMS software guide ranks these products against general buyers as well.
Why device regulation changes the shortlist
ISO 13485 expects controlled design and development, documented purchasing controls, traceability where required, and records that survive scrutiny years after release. FDA 21 CFR Part 820 adds design controls, device history and master records, complaint handling and corrective and preventive action expectations for the United States market. Software selection therefore turns on connections between records. A design change should reach risk files, verification evidence, training and supplier documentation without staff rebuilding the trail in spreadsheets.
Electronic signatures and audit trails linked to FDA 21 CFR Part 11 also matter, but treat every compliance statement carefully. Where this page says a vendor states alignment with a standard, that is a vendor claim drawn from published material, not a certification by this site and not a substitute for checking the current validation evidence during procurement.
The shortlist compared
Scores below are desk research totals out of 10. They are not hands on test results. The method weights standards fit, module depth, ease of use, pricing transparency and support, and is explained in how we evaluate QMS software.
| Product | Best for | Pricing model | G2 rating | Capterra rating | Desk research total score |
|---|---|---|---|---|---|
| SimplerQMS | Life science SMBs wanting validation included in an all in subscription | Per user yearly subscription, licence tiers, Viewer free | 4.5 (14 reviews) | 4.5 (37 reviews) | 8.9 |
| Greenlight Guru | Medical device companies needing design control and risk alongside QMS | Package subscription, implementation priced separately | 4.5 (411 reviews) | 4.4 (91 reviews) | 8.8 |
| QT9 QMS | SMB and mid market manufacturers wanting broad modules and a free trial | Quote based, all modules included, per concurrent user yearly | 4.8 (125 reviews) | 4.8 (126 reviews) | 8.5 |
| MasterControl | Regulated life science enterprises needing deep document and quality processes | Quote based, package and module based | 4.3 (528 reviews) | 4.5 (576 reviews) | 8.0 |
| Qualio | Life science SMBs prioritising ease of use | Quote based, per edit user, tiered plans, implementation fee applies | 4.4 (781 reviews) | 4.6 (138 reviews) | 7.9 |
| Arena QMS | Product companies wanting PLM and QMS in one system | Quote based, role based subscription | 4.2 (464 reviews) | 4.4 (117 reviews) | 7.9 |
Arena QMS appears in the table because product centred teams often evaluate PLM and quality together, but it has no full profile here. Dot Compliance is another name other lists include. No verified data sheet entry was available for it, so no rating, pricing or capability claim is made for it here.
Greenlight Guru: built around the device lifecycle
Greenlight Guru earns its place because its positioning is exclusively medical devices, and the vendor states alignment with ISO 13485, FDA 21 CFR Part 820, ISO 14971 and EU MDR, alongside Part 11. Published material covers design and product development subscriptions as well as post market complaints, CAPAs, nonconformances, audits, suppliers, changes, training and risk records. For a team carrying design controls daily, that lifecycle focus is the segment specific strength: quality events sit closer to the product record rather than in a generic workflow borrowed from another industry. Updated validation documentation is included with the subscription, according to the vendor pricing page.
The weakness is commercial. Subscriptions start at $12,000 per year, implementation is priced separately, and there is no free trial evidenced. A small pre revenue firm may find that entry cost hard. Read the Greenlight Guru review for full pricing evidence.
MasterControl: depth for larger device organisations
MasterControl suits device manufacturers whose problem is scale: many controlled documents, formal training records, supplier files and quality events moving across sites. The vendor positions Quality Excellence for life sciences, and published standards evidence includes ISO 13485, FDA 21 CFR Part 820 and Part 11. Its patented validation tooling is presented by the vendor as reducing validation effort, and its review base is the joint largest here on Capterra, which gives buyers plenty of implementation experience to mine.
That depth is also the drawback for a device startup. Pricing is not published and packaging is quote based by module, so total cost stays unclear until late in the process. Calibration was not evidenced specifically for Quality Excellence in this check, despite related MasterControl products covering assets. Smaller teams should test whether the administrative weight matches their headcount. See the MasterControl review.
QT9 QMS: broad coverage with a trial
QT9 QMS is the generalist that still evidences the device standards this segment needs, including ISO 13485, FDA 21 CFR Part 820, Part 11 and EU MDR on vendor material. All core modules checked, from document control and CAPA to supplier quality, complaints, calibration and risk, are included, and the vendor says the system is pre validated at no extra cost with IQ, OQ and PQ documentation built in. A free trial is available, which matters when design, quality and operations staff all need to test real workflows before signing.
Its device weakness is focus rather than coverage. QT9 serves many regulated manufacturing sectors, so buyers seeking deeply device specific design control guidance should compare its templates and support expertise carefully against a specialist. Pricing is also not published, despite strong ratings on both platforms. The QT9 QMS review sets out the quote based model and third party estimates, labelled as estimates there.
Qualio: adoption first for growing teams
Qualio is strongest where the quality system must be used by engineers, product staff and new hires without lengthy training. Published standards evidence includes ISO 13485, FDA 21 CFR Part 820, Part 11 and EU MDR, and the vendor offers validation resources and feature validation packs. Its G2 base of 781 reviews is the largest in this table, giving prospective buyers an unusually wide set of user accounts, with mid market firms the largest reviewer group.
The segment specific weakness is depth at the edges. Calibration was not evidenced in this check, so a device firm with significant test equipment control needs must verify that requirement explicitly rather than assume it sits inside Quality Events. Pricing is quote based per edit user across Foundation, Growth and Scale plans, with an implementation fee on all plans. Check the Qualio review before budgeting.
SimplerQMS: validation inside the subscription
SimplerQMS records the highest desk research total here, helped by unusual pricing clarity. The vendor publishes a minimum of USD 17,500 annually covering up to 15 users, and states that implementation, validation, data migration, unlimited training, hosting, templates and support are included. For a device SME, that all in structure removes a common fear: buying the licences and then discovering validation services sit outside the deal. The vendor states support for ISO 13485, FDA 21 CFR Part 820 and Part 11, and lists document control, change, training, supplier, complaints, nonconformance, CAPA, audit and risk capabilities.
The caution is evidence volume and scale. Its G2 base is only 14 reviews and Capterra 37, far thinner than rivals, and its stated fit is small and medium life science organisations rather than global device groups. The SimplerQMS review covers licence tiers, including free Viewer access for invited auditors and collaborators.
Who should skip this list
Skip this shortlist if your organisation makes no medical devices and has no ISO 13485 or FDA device obligations. A simpler ISO 9001 system will cost less and ask less of staff. Pharmaceutical manufacturers working mainly to GMP drug rules should use the best QMS software for pharmaceutical companies shortlist instead, because batch, laboratory and data integrity pressures reorder the choices. Also skip every option here if you cannot resource process ownership internally. Software will organise design controls and complaints, but it will not decide risk acceptability or close a CAPA for you. Budget time for validation, migration and training alongside licence cost, using our QMS software pricing guide to compare what each model includes.
Evidence note
Ratings, review counts, pricing statements and scores in this article were checked on 21 October 2026 against the G2 and Capterra listings and vendor pages named in the sources. Review counts varied slightly between regional listings for some products, so the most recent crawl figure in the data sheet was used. Scores are desk research based on published evidence only, never hands on testing.
Practical question
Ask each finalist to demonstrate one complete thread using your own material: a design change that updates a risk record, triggers training, and links to a supplier document. Time how many screens it takes, who can approve each step, and what audit trail an inspector would see. The platform that keeps that thread intact with the least manual stitching is usually the right device choice, whatever the headline score says.
